How to Write a Letter Requesting Donations to a Kids' Team

Many children's sports teams are supported by local business sponsorship and community members. When soliciting donations, there are a variety of ways to contact the community. Though slightly impersonal, donation letters allow your team to reach a large number of people more quickly than phone calls or going door-to-door. Donation letters are also less invasive, and provide a reference point for a future phone call or visit while allowing potential donors to read the information at their leisure.

      Address owners, managers or other specific people, if possible, when writing the letter.

      Introduce your team to the addressee, telling him/her which sport the team plays, what age group it serves, if it is part of a national or local organization, and any recent awards it has won.

      State what your end goal is and specify what you are asking for. Give a specific dollar amount or number of items that you are seeking. If you have a variety of options, include that information on another piece of paper and direct the reader to it. If the addressee has donated to the team before, mention that fact and thank him/her for the previous donation

      Include other fundraising or donation efforts in your letter, telling the addressee what else you are doing to reach your goal and how much of it has been reached.

      State the reason the team needs the money; it may be for uniforms, operating expenses, travel to a tournament or equipment.

      Tell the addressee how she/he can donate: drop items off, arrange a pick-up, mail a check, call in with a credit card or any other options.

      Give the contact information of an adult associated with the team.

      Thank the addressee for his/her consideration and have the coach and some of the team members sign the letter.
