  1. A Simple Press Release Kit

      The press release should be less than two pages and well written. There should be solid quotes from the keynote speakers, factual and biographical information. The press release should be self-explanatory so members of the media have enough information to write their stories. Make sure the press release is looked over by several people for accuracy, spelling and grammar.

      Separate articles should be written on the background of the organization or the event in point form. There should also be biographical information on the keynote speakers and presenters. This will help the media become familiar with those who are speaking or that will be at the event. The backgrounder and biographical information sheets should be one page only and easy to follow.

      Photocopy your press releases on one side of the page only, and they should be stapled in the corner. The pages can either be done in color or black and white. The backgrounder and biographical information should be photocopied on separate pages. If you are expecting 10 members of the media and 10 guests, then make approximately 30 kits. Photocopy an extra 10 press releases that you can pass out to the general public or those who may not be on the guest list.

      One area that is sometimes forgotten is to make CDs of the press release, backgrounder and biographical information. They should be saved in different formats, such as word and a PDF. This will allow members of the media to open up the article on either PC or MAC platform. Create a nice label for the CDs so they stand out.

      Assembling the kits shouldn't take very long. The presentation folders should be glossy and of one color. The main press release should be noticeable when you open the folder. If you have company pens and notepads, place them with the press release in the folder. The backgrounder and biographical information can be put on the inside cover along with the CD. Business cards of the keynote speakers and media/communications person should be affixed to the presentation folder. If pictures are required, they should be placed behind the press release.

      Each member of the media, keynote speakers and special guests should be given a presentation kit and explained what it contains. Be available once the event is over to answer questions or comments.

      Once the event has concluded, the press release, backgrounder and biographical information should be emailed to members of the media, special guests and keynote speakers. This may seem redundant but will go along way to make sure your event is well covered. Take time to post the stories on your company's website, including photos of the event.
